Responsibilities

Essential Duties and Responsibilities:

Coordinates the client experience from initial intake process and data collection, insurance eligibility/verification, scheduling, billing and discharge. Supports the Beyond the Classroom team to ensure activities and initiatives maintain all relevant quality, regulatory, and legal standards.

  •  Facilitates intake process and data collection and entry in appropriate systems, including: admission documentation, parent/child relationships, custody   information, and   referral source.
  •  Meets families where they are to assist in completion of intake packets. Addresses questions related to intake process, eligibility, fee for service, etc.
  •  Obtains and verifies relevant insurance coverage information. Processes eligibility requests and preauthorization requests through appropriate source   and verifies coverage   eligibility with families,   including applicable co-pays, covered services, in-network/out of network status, etc
  •  Researches eligibility for service coverage under Hamilton County Mental Health and Recovery Service Board to ensure viability of indigent services.
  •  Administers process for initial fee agreements.
  •  Corresponds with families regarding billing information. Follows up on missing data and past due accounts.
  •  Diligently & accurately keeps spreadsheets to track authorizations, fee agreements, co-pays and board indigent percent of eligibility.
  •  Enrolls eligible clients in Shares and Gosh.
  •  Processes and collects payments, as needed. Collaborates with Finance to address billing issues and/or payment processing.
  •  Ensures billing systems are accurate and up to date at the time of assignment to clinicians or providers. Assists with updates to client records as   necessary.
  •  Supports reporting activities for assigned schools, including referral sources, persons served, demographics, etc.
  •  Supports and ensures accuracy of data in Next Gen, BA Intake, and/or RedCap.
  •  Processes discharge paperwork, drafts and sends communications to clients regarding non-compliance.
  •  Supports scheduling process within assigned schools to help ensure efficiency in calendars.
  •  Completes client appointment reminder calls, as needed.
  •  Works collaboratively with Quality Improvement to conduct periodic compliance and risk assessment audits and support process improvement activities.   Supports processes   to implement best   practices across schools.
  •  Supports process to onboard and credential new clinical staff, including staff code assignment, registration in MITS, and verification of NPI number.
  •  Participates in ongoing process improvement initiatives to develop and refine efficient intake and processes.
  •  Works collaboratively and cross-functionally as a Beyond the Classroom team member to ensure holistic needs of kids and families are met.
  •  This a hybrid role.

 

Qualifications

Education and/or Work Experience Requirements:

 

  • High School Diploma or Equivalent (Associate’s Degree in Business Administration, Medical Billing, or related area) + 1-3 years of experience in a healthcare administrative role, supporting billing processes.
  • Previous experience in behavioral health or mental health services is preferred.
  • Knowledge of LEAN concepts and continuous quality improvement is preferred.
  • Outstanding organizational capabilities with the ability to manage time and balance multiple priorities.
  • Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers. Customer service focus with strong ability to consistently provide outstanding support.
  • Excellent computer proficiency (MS Office – Word, Excel and Outlook).
  • Ability to work collaboratively to support the team’s achievement of shared goals and outcomes.
